Information for Vendors

printPHILLY! 

Vendor Responsibilities

AS A VENDOR

You will be supplied with:

  • One (1) 8-foot table, wrapped in brown paper
  • 2 folding chairs
  • Name tag stickers
  • Small card designating your table with personal name, shop name, etc.
  • Access to public WiFi. (Uarts-Guest, see FAQs below for directions or on website.)

You are responsible for:

  • Adequate signage for your table and/or wall (including QR codes for payment)
  • Custom table dressing (tablecloth, print displays or stands, etc)
  • Preparing your prints to be handled by the public (packaging in sleeves, frames, or with rigid backing, etc)
  • Any hardware (nails, hooks, pushpins, tape, magnets, etc) required to hang artwork on a Premium wall, and any tools needed to install such hardware
  • Providing and managing methods of payment
  • Packaging for any sold prints or products (bags, tubes, sleeves, etc)
  • Hand trucks or other equipment needed to transport your prints between your vehicle and the Fair (the fair cannot provide or loan these).

You may NOT:

  • Bring your own table, or additional tables;
  • Block designated walkways or emergency exits (floor-standing print racks cannot be used on Floor 2 / Balcony);
  • Use another vendor’s table or encroach on their display area.

LOAD IN / LOAD OUT

You have been given a 15 minute load-in time via email. Please arrive during that time frame, and enter the building through the accessible entrance on Pine Street. You will need to unload using the bike lane / left turn lane. Materials can be dropped off securely at that entrance, and then you must find street / garage parking before setting up.

Please check the MAP below (and in your email) for loading zone, potential parking, accessible entrances, and locations of bathrooms, stairs, and elevators in the building..

  • 8am – 9am — All vendors load-in during assigned 15-min.
  • 10am — Set up complete, front doors open to the public.
  • 3pm — Doors close and public leaves.
  • 4pm — Vendors are packed and have left the building via the Pine Street entrance.

FAQs

Q. Can I charge my electronics? Are there charging stations?

  • A. Please fully charge all electronics before you arrive. Electrical outlets are few and mostly inaccessible. printPHILLY! and University of the Arts are not responsible for any lost or stolen devices and cannot supply you with charging cords.

Q. Is there WiFi on site? Is it secure?

  • A. There is a public WiFi available through UArts.
    Wifi directions: Log on to “Uarts-Guest” and register. It will ask you to provide name, email, phone number, and mobile carrier. 
    If you want a secure WiFi connection, use your mobile phone as a HotSpot. 

Q. Where will my table be?

  • A. You will be directed to your assigned table on Saturday morning. In general, Premium vendors are located along the perimeter of the main floor; Standard vendors are clustered in 4 rows in the center of the hall; Tier 2 Premium vendors are located on the upper floor balcony (overlooking the main floor). Vendors are being split into 4 load-in groups to prevent congestion and confusion on Saturday morning. If you need extra time loading in, please inform us! phillyprintconsortium@gmail.com 

Q. Is there storage for my portfolio, boxes, cart, etc? 

  • A. You should plan to store any materials you bring under your table. There are no secure storage options nearby.

Q. What are the (Premium) walls like, and how much weight can they hold?

  • A. The walls are made of homasote and painted white. If hanging framed or heavy work, it is recommended that you use either picture hangers, or nails hammered in at 45o, and consider using 2 hangers if the work is over 20 lbs. Neither printPHILLY! nor University of the Arts is responsible for any damaged or lost artwork.

Q. What if I need to take a restroom or food break?

  • A. Restrooms are located on the balcony / 2nd floor. Please check the map for their locations. Light refreshments will be provided on site for vendors, and speedy lunch options are conveniently located nearby. If you need frequent breaks or cannot sit for the duration of the fair, please plan to have a friend or colleague assist you.
